How to automate social media with AI (and still sound like you)
· 6 min read
Posting consistently is the part of social media most small businesses fail at. Not because they have nothing to say, but because writing, designing and scheduling every post takes hours each week.
Here is a setup that hands the routine work to AI while keeping your voice and your final say.
Step 1: Teach the AI your business, once
Generic AI posts sound generic because the AI knows nothing about you. Before asking for a single post, give it:
- Your website address
- What you sell, who buys it and why they choose you
- Three posts you have written that you liked
- Words or claims you never use
On Crewmint this goes into the shared knowledge base, so every teammate uses it.
Step 2: Plan a month, not a post
Ask for a content calendar for the next four weeks as a table: date, platform, topic, format and goal. A good plan mixes:
- Proof: results, reviews, before and after
- Teaching: tips your customers would pay for
- Behind the scenes: people, process, the work itself
- Offers: no more than one in four posts
Change the plan before any writing starts. It is much quicker to fix a calendar than thirty captions.
Step 3: Write per platform
The same idea needs different words on each platform. LinkedIn rewards a strong first line and short paragraphs. Instagram needs a hook, then the caption, with hashtags kept out of the way. TikTok and Reels need a spoken hook in the first two seconds.
Nova, our AI social media manager, writes a separate caption for each platform from one idea, which saves you rewriting.
Step 4: Add the visual
Posts with a strong visual get more attention. You have three options:
- Your own photos. Still the most trusted. The AI writes the caption around them.
- Designed graphics and carousels. Ivy designs them in your brand colours.
- Short videos. Lumi makes short animated videos for Reels, TikTok and Shorts.
Step 5: Approve, then publish
This is the step that keeps you safe. Every post should wait for your approval before it goes live. Once approved, it can publish now or at the time you set.
Set aside fifteen minutes on Monday to approve the week. That is the whole weekly time cost once this is running.
Step 6: Learn from what worked
After a month, ask which posts got the most engagement and why. Then ask for next month's plan to do more of that. This loop is where AI saves the most time: it reads the numbers so you do not have to.
Common mistakes
- Posting everything the AI writes. Approve fewer, better posts.
- No point of view. Give the AI your opinions. "We think most agencies overcharge for SEO" makes a better post than "SEO is important".
- Switching tools every month. The value builds as the AI learns your business.
