Crewmint's AI teammates help businesses find the work email address of a person they want to contact about their job. To do that, ScaleCraft LLC keeps a shared record of business email addresses it has found and checked. This notice explains what we keep, why, for how long, and how to opt out. ScaleCraft LLC is the controller of this record.
What we store
Your business email address, only at your company's own domain (for example jane@company.com), and the company domain.
Your name and job title, only when a public source named you, such as your company's website, a press release or a public professional profile.
Where the information came from: the public pages that showed your company's address format or named you, or the email-finding service that returned the address.
Whether the address was confirmed to exist, and when it was last checked.
We never store personal mailboxes (such as Gmail, Outlook, Hotmail, Yahoo, iCloud or Proton), phone numbers, or anything taken from our customers' uploaded files, CRM imports or private data.
Where it comes from
Addresses published on company websites and in public search results, which show how a company forms its staff addresses (for example first.last@company.com).
A check with the company's mail server, through an email verification service, that a mailbox exists. No email is sent to you to do this.
Where we use them, specialist business email-finding services, such as Prospeo, Hunter or Findymail, which return a work address for a name and company.
Why we use it and our legal basis
We keep this record so that Crewmint customers can reach the right person at a business with a message relevant to their role, and so that the same address is not looked up and checked again and again. Under the EU and UK GDPR our legal basis is legitimate interest (Article 6(1)(f)): business-to-business outreach to people in their work role. We limit the record to work contact details, never personal mailboxes, and anyone can opt out at any time.
A customer who uses an address to contact you decides that themselves and is responsible for it. They must follow our email and outreach rules, which require a lawful basis, an easy way to unsubscribe in every message, and a note in the first email saying where your address came from.
Who can see it
A confirmed business address can be returned to any Crewmint customer who looks for that person by name and company. Your name and job title are only returned with it when they came from a public source. We do not sell this record or publish it.
How long we keep it
Each address is checked again or deleted after 12 months. Records that have not been checked again within 12 months are deleted automatically.
If you opt out, we keep only your address and the date you opted out, so we can keep honouring your request.
Opt out
Enter your work email address below to opt out. From then on, Crewmint will never return your address to anyone, and no Crewmint customer can email it through Crewmint. Your address is added to our platform-wide do-not-contact list, which stores only a one-way hash of it, and any record we hold is cut down to the address and the opt-out date.
The form gives the same answer whether or not we held your address, so it cannot be used to look people up. If you have already received emails from a customer, you can also use the unsubscribe link in those emails.
Your rights
You can ask us for a copy of what we hold about you, to correct it, to delete it, or object to our use of it, by emailing help@crewmint.ai. You can also complain to your local data protection authority. Our Privacy Policy explains these rights in more detail.
